The following is a list of changes for CourtStream version 5.3.5 for a limited released on 3/2/2010 with a full release on 3/9/2010. BizStream Application
Popup Dialog Boxes
- Updated: We're implementing a new method of popup boxes throughout the system. You'll notice some style changes, but they should also load faster and more reliably in all browser versions. Not all popups will be using the new method quite yet. We're switching them over one by one for now.
Report Subscriptions
- Updated: We added a "Send when empty?" option. This will allow you to not receive report subscriptions when no data exists.
Form Builder
- Updated: Form Builder development continues on with more functionality being added all the time. With this release you can now modify many of the existing forms. For instance you can take an existing form, add the fields you need, remove/modfiy the fields you don't and future forms will reflect those changes. At this point you still can't create new forms/sections, but that and much more is coming down the line. Keep an eye out for changes to this exciting and useful tool.
Form Validation
- Updated: Many of the existing forms have been updated with newer, cleaner validation. The new validation will give you a more clear idea of what's invalid as well as highlight the input it's referencing. This new validation will be rolled out to more forms in time, so keep an eye out for it!
People Picker
- New: Global List administration. Those with the proper permissions can administer publicly shared people picker lists. Just go to the administration tab of any main application and click on People Picker Lists.
- Updated: Small style changes (wording and button color)
- Updated: Click/double click folder actions slightly modified
Case Manager and Detention
Activity Log
- Updated: Added a "more/less" link at the end of larger Activity Log entries. This should make the Activity Log easier to scan/read while also allowing detail to be readily available.
Affidavits
- Updated: Ability to select/view/print multiple affidavits at once
- Updated: Green printed icon appears when you click the print buttons.
- Updated: Some new styling to the view/print forms.
Attachments
- Updated: You can now send Alerts/Messages about Attachments as well as seeing them in Activity Log.
General Profile Report
- Updated: Added Gang Name and Aliases to the report
Offenses Tab
- Updated: Added a button to each Petition that will display the Register of Action of that Petition. From that list you can view them in more detail as well.
Register of Action
- Updated: Added Simple/Detailed views. Added option to limit the number of events to show, for faster loading when the list grows. More filtering has been added. You can sort things by Petition or date, or show only certain event actions. You can also get a quick list of events tied to a particular Petition by hovering over the Petition button in the Offenses tab and clicking the View this Petition's Register of Action
Contact Tab
- Updated: Administrators can now set a school as active or inactive so you can clean up your school lists more effectively as things change.
Send Alert
- Updated: Alert emails have been modified to reflect the new alert styling that has been implemented in the last few releases.
- Updated: We've implemented smart default lists for People Picker depending on what you're sending an alert about. Some things will try and use the same list you used last for that client and item, some will grab everyone in the Casework Team, or a combination of both, etc. These smart defaults were formulated from suggestions by users like you! Thanks a lot!

- Updated: The Court Document date is now being defaulted to the current date.
- Updated: Style updated for Court Document view
Detention
Record of Discipline
- Updated: The Record of Discipline PDF report (accessible from the menu on each Record of Discipline row) has been updated for clarity and to more closely resemble all the other updated reports in the system.
Progress Report
- Fixed: Clicking on a Progress Report from somewhere else in the system will now take you to the item and show the proper progress report regardless of the currently selected filter.

Case Manager
Demographics
- New: A new field, Hearing Impairment, has been added. It can be used in all reports including Demographics and is also included in Case Manager Administration.
Case Notes
- New: BizStream Administrators, Case Manager Administrators of the same Program, and the Manager of the owner of the Case Note can now "unlock or release" a Case Note for edit for 24 hours after the Case Note has been locked. Just click the "unlock" button next to the edit button on the case note.
Shelter Check In-Out
- New: Shelter Check In-Out allows you to better keep track of how many nights a client actually spends in your shelter.
- If a Program "Provides Shelter" (Admin Option) then a new "Shelter" tab will appear in the vertical list of tabs. This tab will allow you to check a client in and out of Shelter and record how many people were checked in during that time.
- 3 new inputs have also been added to the Case/Service History screen when a Shelter program is selected that will allow you to record how many Adults, Male and Female Children are part of the family at that point in time.
- Finally, a new data source has been added to reports called Client: Cases (or Service Histories) (With Shelter). This data source will break down each shelter stay into individual days and will allow you to report on them in that way.

Contact Tab
- Updated: CaseStream will attempt to auto populate City/State based on Zip Code and vice-versa.
This can be turned off in "Manage CaseStream > Case Manager Settings".

- Updated: CDBG Area can take up quite a bit of time from Case Managers and/or administration in order to figure out exactly which area the client is in. There isn't a real great resource to automatically generate the CDBG Area from an address. In an attempt to help with that process we've added a "?" icon next to the CDBG Area input. If you hover your mouse over that icon a small pop up will appear and show you all the CDBG Areas in your system that have been used with the current Zip Code or City/State and how often. It will still require some thinking on the Case Manager's part, but it's a start.
- Updated: In certain situations a phone number may not be safe to call. Phone numbers now have a question under them of "Ok To Call?". You may choose "Yes, Safe to Call", "DO NOT CALL", or neither. Default is neither.
This will show up next to each phone number on the view screen as a green or red message.

- Updated: A new option, "Search By", has been added to the Case Manager Search box. This allows you to search by Client or Assailant.

- Updated: Ethnicity has been split into two inputs: Race and Ethnicity.
Assessments
- Updated: The Assessments/Goals application has been made available to all sites.

Reports
- Updated: When "Comma Separated Values(CSV)" is selected as the report style an option now appears below it called "CSV: Show Report Header?". This will show/hide the report header information at the top of the CSV when it's created. This allows for data to more easily imported into other applications.
Timesheets
Employee Submitting and Manager Approving
- New: Timesheet Approvals is a new, optional tool that allows employees to submit their timesheets to their manager who will then approve or reject it.
- Once a timesheet is submitted it is locked and cannot be edited unless reopened by a manager. This helps your finance department deal with timesheets more confidently as they won't be changing as they report on them.
- Reminders will be sent out to employees and their manager if they haven't entered enough time on their timesheet, and managers will see a new tab in the Timesheets app called, "Timesheet Approvals" where they can manage their employees' timesheets.
- In order to work properly, Employee/Manager relationships must be setup as well as Hire Date and Minimum Hours per week in the Employee Admin application.

Programs and Services
- Updated: Programs and Services now have an "Is Active?" option in Case Manager Administration. If Inactive the Program/Service will no longer show up in dropdowns throughout the system. Note: If you edit an object saved with an inactive Program/Service, it will still show up and still allow you to save normally, you just can't switch something from an active Program/Service to an inactive one.
Timeframe to allow a Case Manager to edit a Case Note
- Updated: An administration option was added to "Manage CaseStream > Case Manager Settings" that sets the amount of time a Case Manager has after creating a Case Note to go back and edit it. The default is 24 hours.

A browser issue with Internet Explorer 6 and automatically growing and shrinking Textarea type inputs, and/or Note fields has been fixed. Textarea inputs will now be a static height for Internet Explorer 6 users.
CourtStream version 5.3.4 - Hotfix for Note Fields in Internet Explorer 6 was released on 11/20/2009.
This issue was brought to our attention by a user from Ottawa County. (Thank you for the Bug Report!)

Case Manager and Detention
Court Order Tab
- New: Users may now track other court documents associated with a client. These can also be associated with Court Orders and/or Affidavits.
- New: Users may now create Court Document Affidavits. This process allows you to choose current Court Orders/Documents and a client's contacts and create 1 or more affidavits concerning them. This new feature will also allow you to print mailing labels/envelopes for all of the contacts mentioned in the affidavit.
Alerts/Messages
- Updated: Alert priority colors have been modified. Previously, when an alert was sent the colors were: green, yellow, red. We've changed to more of an all-red scale so: yellow, orange, red. This change affects the Daily Log, Activity Log, and Messages.

- Redesigned: These items have been redesigned to create a more cohesive look between applications as well as display the information in a simple, easy to read format.

- Updated: Finger Print Taken? has been moved from the General Profile tab to the Offenses tab.
Offenses Tab
- Updated: Streamlined the way Petitions and Offenses are displayed and managed. Offenses now can be added and edited on the same screen that you edit the Petition fields on. This should decrease the time it takes to enter Offenses. Also re-designed the display Petition screen to be more readable.
- New: Added 5 new fields to the Petition Form.
- Case Type - The Case Type of Petition
- Authorized? - Whether or not the Petition was Authorized
- Authorized On (date) - The date that the Petition was Authorized
- Fingerprints Required? - Whether or not Fingerprints were Required
- Fingerprinted On (date) - The date that the Fingerprints were recorded
- Updated: Created an alert area at the top of the Offenses Tab that displays summary information of how many Petitions need to be Dispositioned, Authorized, and / or Finger Printed as well as how many Offenses need to be Adjudicated
Activity Log
- Updated: Redesigned to be more easily readable
Casework Team History
- New: A new data source, "Team Member Timeline", has been created. This data source will return a list of all clients a caseworker has ever had. It will include the "Start Date" and "End Date" of that Team Member's involvement in the case.
Register of Actions
- New: CourtStream now generates the Register of Actions mandated by the state of Michigan. Many events are automated based on things CourtStream already tracks like Petitions, Court Orders, etc. Events can also be added manually.
Detention
Data Source
- New: A new data source has been created, "Case: Detention (by Date)". This will allow users to get a count of the number of clients that were in detention per day.
Detention/Facility
Daily Log
- Updated: The Daily Log was moved to the Facility Application a couple versions back. Until now you could still get to it from Detention. From now on that link has been removed and you have to go to the Facility Application to get to the Daily Log.
Security Administration
Group/User Matrix Report
- Updated: More has been added to the BizStream Security Matrix. In addition to displaying which groups have which permissions, you can now see which users are in which groups and vice-versa.
Reports
Comma Separated Values (CSV)
- Updated: Improved date formatting.
- Updated: Text with line breaks and quotes now display properly.

Search Results: Multiple Pages
- Updated: Previously, if you had multiple "pages" of search results and you clicked the Next button to move to the second page, your search term would be lost and it would return all records. This has been fixed and search paging is working correctly.

- New: A new input has been created that allows the user to select people (Both BizStream Users as well as external email addresses). This will typically be used for sending alerts/emails. The People Picker is useable but still in beta and not completely polished yet. A more in depth explanation of the People Picker will come once it's complete.

Event Conflict Checking
- New: The system will now review an event upon save and check for possible conflicts with holidays. Any conflicts will be shown and the user will have the option to continue, delete selected conflicts, or retry creating the event with a different schedule. To modify the list of holidays the system checks against, go to Manage CourtStream > Change CourtStream Settings > Change Your Calendar Settings.

Attachments (OnBase Integration)
- New: Users that have the OnBase Document Imaging system installed for their client documents, can now access OnBase documents directly from CourtStream. Simply go to a client's Attachments page and click the "OnBase Documents" button. This feature can be turned on/off in the Manage CourtStream section of the application.

- Updated: Clicking on a mugshot on the Summary tab now opens the mugshot just as in the General Profile tab.

Report Subscriptions
- New: Users may now subscribe to any report that they have access to. A subscription can be setup to automatically email to a list of people based on a schedule. To subscribe to a report, go to the Report List, hover your mouse over the view icon, and click on the Subscribe button. Fill out the form and click save. Subscribed reports will be sent out between 12 am and 4 am.
- Currently supported subscription options include:
- Create a daily, weekly, or monthly schedule
- Send the email as a link to the report
- Attach an Excel Spreadsheet (CSV - Comma Separated Values) to the email

- Updated: The Medicaiton Action list can grow quite large for some clients causing the page to load very slowly. We've added a time filter at the top of the list allowing you to filter by "Today's Activity", "Last 7 Days", "Last 30 Days", and so on. This is a temporary fix until we can get a better, faster solution in place.

Fixed: When entering a Detention Incident from the Daily Log, the screen was only allowing 500 characters in the Notes field when it should have allowed 6,500. The field now allows 6,500 for a Detention Incident and 8,000 for daily log entries.

- Fixed: When releasing a client from Detention from the Detention tab in Case Manager, the confirmation box that pops up had no text.

Updated: Case Manager's Smart Match feature has been fixed. This feature would automatically take you to a client's page if it found a "smart match" in the search results. This was added to save you an extra click. However, we had a bug that automatically went to a client, even if it was not the "strongest" match. This issue has been resolved.

BizStream Application
User Security
- New: The security model has been completely redesigned in order to give BizStream Administrators granular control over who can do what throughout the system. If you're an administrator you can see the new security model by clicking Tools > Manage CourtStream > Manage Application Security and User Lists.
- New: The name of the Detention module is now editable
System Log
- New: A new application called System Log has been created that records and displays various system level events. Things that will show up in this log include User Login/Logout Attempts, User Profile/Group Changes, Password Changes, Security/Permission Changes, etc. It's only available to administrators by clicking Tools > Manage CourtStream > System Log.
Menu
- Update: The menu, it's groups, and sub menu items have been redesigned.
- Communicate, Manage My Work, and My Daily Items have been combined into a single BizStream group.
- With the Menu on Top, we've added commonly used links in order to get you to where you want to go with less clicking. For example, you can mouse over Case Manager and click on Reports without actually opening Case Manager first.
- In an effort to help you find what you're looking for more quickly (and because we think it looks nice) we've added icons next to the sub menu items. (Currently only available when your menu is "On the top").

- Update: Minor bug fixes
- Update: Many enhancements for speed of access.
Attachment Uploading
- Update: Commas are now allowed in file names
- Update: Users may now rename the uploaded file at the time of uploading. This helps with taking files from digital cameras with nonsense filenames. (DSC01234.jpg)

- Update: An option was added when outputting to CSV (Excel format), Show Report Headers. This gives you the opportunity to import report data into other programs more easily.

- Update: A majority of administration screens have been reworked so admins can edit the items in-line. Basically this means they can simply click the table cell and edit the value without having to click the edit button on the row, change the value, and click the save button.

- Update: Judge/Referee no longer defaults to the first one in the list. Referee field is also hidden when not required.
