    CaseStream Beta Release (4.5.4.x)

    The following changes will be rolled out to the beta sites at some point today, April 21, 2009. This is the first of three Release Candidates that will be rolled out in the coming weeks. The final release is scheduled for June 6, 2009. If you have any feedback regarding this release candidate please email us at support@bizstream.com. Any and all feedback, suggestions, bug/error reports are welcome.

    Case Manager

    Contact Tab

    • Updated:  CaseStream will attempt to auto populate City/State based on Zip Code and vice-versa.
      This can be turned off in "Manage CaseStream > Case Manager Settings".

    • Updated: CDBG Area can take up quite a bit of time from Case Managers and/or administration in order to figure out exactly which area the client is in. There isn't a real great resource to automatically generate the CDBG Area from an address. In an attempt to help with that process we've added a "?" icon next to the CDBG Area input. If you hover your mouse over that icon a small pop up will appear and show you all the CDBG Areas in your system that have been used with the current Zip Code or City/State and how often. It will still require some thinking on the Case Manager's part, but it's a start.

    • Updated: In certain situations a phone number may not be safe to call. Phone numbers now have a question under them of "Ok To Call?". You may choose "Yes, Safe to Call", "DO NOT CALL", or neither. Default is neither.
      This will show up next to each phone number on the view screen as a green or red message.

    Search

    • Updated: A new option, "Search By", has been added to the Case Manager Search box. This allows you to search by Client or Assailant.

    Demographics

    • Updated: Ethnicity has been split into two inputs: Race and Ethnicity.

    Assessments
    • Updated: The Assessments/Goals application has been made available to all sites.

     Reports

    • Updated: When "Comma Separated Values(CSV)" is selected as the report style an option now appears below it called "CSV: Show Report Header?". This will show/hide the report header information at the top of the CSV when it's created. This allows for data to more easily imported into other applications.

    Miscellaneous

    Programs and Services

    • Updated: Programs and Services now have an "Is Active?" option in Case Manager Administration. If Inactive the Program/Service will no longer show up in dropdowns throughout the system. Note: If you edit an object saved with an inactive Program/Service, it will still show up and still allow you to save normally, you just can't switch something from an active Program/Service to an inactive one.

    Timeframe to allow a Case Manager to edit a Case Note

    • Updated: An administration option was added to "Manage CaseStream > Case Manager Settings" that sets the amount of time a Case Manager has after creating a Case Note to go back and edit it. The default is 24 hours.

    Hey all,

    Upon rolling this stuff to beta I've found a few issues already. This is why we don't go straight to live.  :)

    Some issues I've found so far:

    1. Search By should not be shown if the site doesn't use Assailants 
    2. Phone Numbers must be placed on the summary screen (per HAVEN's initial request)
    3. Clicking on a family name in the search results tries to show the Search By input, but shouldn't. (It also messes up the layout)
    4. If a client has no phone number, "Ok To Call" defaults to "DO NOT CALL" instead of empty for some reason.

Baring any major feedback this is the the last Release Candidate that will be rolled out before going live with 4.5.4.x.     Report Manager

    Data Source Snapshot Engine

    • New: You can now take "snapshots" of your data at night and run reports on that data instead of the real-time data.
      • Why would you want to do that? Two reasons:
        • Depending on the data source being used, the filter being applied, and the amount of data being returned, running a report with a snapshot can return data much faster.
        • The snapshot data doesn't change as other users are using the system. This is very helpful if you're running multiple reports over an extended period of time. All the reports you run will always reflect the same data set. The data you got at 8am will be the same data you get at 5pm so you can compare data without worrying about another user making changes between then and now.
      • Administration for which data sources are being "snapshotted" is located at Manage CaseStream > Manage Report Data Sources. Snapshots will be refreshed every night, so if your reporting takes longer than that day you can pause snapshotting for that data source and you can keep reporting on that snapshot until you're done.

    Case Manager

    Case Notes

    • New:  BizStream Administrators, Case Manager Administrators of the same Program, and the Manager of the owner of the Case Note can now "unlock or release" a Case Note for edit for 24 hours after the Case Note has been locked. Just click the "unlock" button next to the edit button on the case note.

    Shelter Check In-Out

    • New: Shelter Check In-Out allows you to better keep track of how many nights a client actually spends in your shelter.
      • If a Program "Provides Shelter" (Admin Option) then a new "Shelter" tab will appear in the vertical list of tabs. This tab will allow you to check a client in and out of Shelter and record how many people were checked in during that time.
      • 3 new inputs have also been added to the Case/Service History screen when a Shelter program is selected that will allow you to record how many Adults, Male and Female Children are part of the family at that point in time.
      • Finally, a new data source has been added to reports called Client: Cases (or Service Histories) (With Shelter). This data source will break down each shelter stay into individual days and will allow you to report on them in that way.

    Timesheets

    Employee Submitting and Manager Approving

    • New: Timesheet Approvals is a new, optional tool that allows employees to submit their timesheets to their manager who will then approve or reject it.
      • Once a timesheet is submitted it is locked and cannot be edited unless reopened by a manager. This helps your finance department deal with timesheets more confidently as they won't be changing as they report on them.
      • Reminders will be sent out to employees and their manager if they haven't entered enough time on their timesheet, and managers will see a new tab in the Timesheets app called, "Timesheet Approvals" where they can manage their employees' timesheets.
      • In order to work properly, Employee/Manager relationships must be setup as well as Hire Date and Minimum Hours per week in the Employee Admin application.
